Privacy Policy

These documents are being updated to reflect the current CrewRules service and remain subject to legal review.
1. Introduction
CrewRules™ (“CrewRules,” “we,” “us,” or “our”) is operated by Marvella Group LLC. This Privacy Policy describes how we collect, use, store, and share information when you visit our websites, create an account, or use the CrewRules platform and related services (“Services”).
CrewRules is an independent pilot and crew resource. It is not affiliated with an airline, union, regulator, dispatch office, or crew-scheduling department unless a written agreement explicitly states otherwise.
By using the Services, you acknowledge this Privacy Policy. If you do not agree, please do not use the Services.
2. Information Users Provide
Depending on how you use CrewRules, you may provide or we may store information such as:
- Name, preferred name, and contact information
- Login credentials and account identifiers managed through our authentication provider
- Employee number and airline or work email address
- Position or seat, base, equipment, and date of hire
- Home and alternate airports and commute-related preferences
- Phone number and personal email when you choose to enter them
- Profile and display preferences, including theme and time-display settings
- Mentoring-related information, such as mentor contact details, assignments, milestones, notes, check-ins, and help requests
- Feedback, bug reports, feature requests, and support messages
- Documents and files you upload to your personal library or submit through the Services
- Waitlist or access-request information when you request access before your airline is live
3. Schedule and Operational Information
CrewRules may import, store, process, or display schedule and operational information to provide its features. This may include, depending on your use of the Services:
- Schedules, pairings, reserve assignments, duty periods, and flight segments
- Airports, gates, terminals, tail numbers, commutes, hotels, training, and vacation events
- FAR 117-related summaries or metrics derived from information you forward or import
- Pay estimates or month-credit projections based on imported or entered schedule data
- Weather brief information, delay information, and other operational context shown in the platform
- Commute bookings parsed from forwarded confirmation emails
Some of this information may originate from user-forwarded emails, uploaded files, third-party aviation or weather services, or information you enter directly. CrewRules does not claim direct authorized access to your airline’s internal systems unless you or your organization separately authorize such access outside this Policy.
4. Email and File Imports
Users may forward or upload operational content to CrewRules, including FLICA-style schedule information, ICS calendar files, HTML schedule content, PDFs, booking confirmations, FAR 117-related company emails, and other schedule or operational content supported by the Services.
When you use a CrewRules import address or upload feature, we process the content you send to provide the requested functionality, such as schedule import, booking recognition, commute planning, or FAR 117 tracking. You are responsible for ensuring you are authorized to forward or upload the content you provide.
6. Automatic and Technical Information
When you use CrewRules, we and our infrastructure providers may automatically process technical information such as:
- Authentication cookies and session information needed to keep you signed in
- Browser, device, and request information transmitted through normal web requests
- Theme and display preference cookies stored on your device
- Short-lived functional cookies used for specific features
- Local storage or session storage used for in-browser preferences or user-interface state
- IndexedDB offline snapshots stored on your device so certain views may remain available when connectivity is limited
- Security, operational, and diagnostic logs maintained to operate and protect the Services
- Rate-limiting or abuse-prevention information, such as recent submission counts associated with a request source
- Anonymous public-site traffic measurement on selected CrewRules marketing and legal pages, described below
Public-site traffic measurement. On certain public CrewRules pages (such as the homepage, contact page, privacy policy, terms of service, and the CrewRules™ 135 marketing page), CrewRules may use first-party analytics operated by Marvella Group LLC to measure anonymous website traffic and performance. This measurement is separate from your CrewRules account and login session.
That analytics may help us understand, in aggregate:
- How many unique visitors reached those public pages
- How many total visits occurred
- Whether a visit arrived from a referral source, including Marvella-owned links when applicable
- Approximate country and state or region derived from network information
The analytics identifiers used for this purpose are stored in your browser’s local storage under CrewRules-specific keys and are not linked to your CrewRules account, profile, email, employee number, schedule, mentoring information, or other account content. CrewRules does not send names, emails, employee numbers, schedules, authentication tokens, form contents, or account identifiers through this public-site analytics. Query strings, page hashes, and full page URLs are not included in the analytics payload.
Marvella’s traffic collection for these pages does not store raw IP addresses as part of the connected analytics reporting described here and does not collect precise location. Approximate location, when available, is derived at a coarse regional level for traffic reporting only.
We do not use third-party advertising trackers on CrewRules. Standard hosting and infrastructure providers may maintain their own service logs as part of operating the platform.
7. Payment Information
Paid CrewRules subscriptions are processed by Stripe. CrewRules may retain subscription-related identifiers and metadata such as Stripe customer identifiers, subscription status, plan information, billing interval, and transaction or invoice metadata needed to operate billing and support.
Full payment-card numbers are handled by Stripe and are not stored directly by CrewRules. Stripe’s handling of payment information is also governed by Stripe’s own terms and privacy practices.
8. How Information Is Used
We use information to:
- Operate, maintain, and secure user accounts
- Import, organize, and display schedules and related operational information
- Provide Commute Assist, Family View, Friends sharing, and mentoring features
- Provide Advanced Weather Brief and other operational information tools
- Provide FAR 117 tracking, pay-estimate, and related informational tools
- Process subscriptions and communicate about billing where applicable
- Send account, schedule, mentoring, sharing, trial, commute-alert, and other service-related communications
- Provide customer support and respond to inquiries
- Detect, prevent, and address fraud, abuse, and security issues
- Improve, troubleshoot, and develop CrewRules
- Comply with legal obligations and enforce our agreements
9. Service Providers
We use trusted service providers to help operate CrewRules. These providers may support services such as cloud hosting, authentication, database and file storage, payment processing, email delivery and email processing, customer support, artificial-intelligence features, mapping, aviation information, flight status, weather information, security, and service monitoring.
These providers may process information only as reasonably necessary to perform services for CrewRules, support requested product features, maintain security, or comply with applicable legal obligations.
Some integrations or data sources may be enabled or disabled depending on product configuration. We do not publicly identify every provider or integration used to operate the Services.
10. Information Sharing
We do not sell personal information.
We may share information:
- At your direction through Family View, Friends, mentoring, or other sharing features you enable
- With service providers that help us operate CrewRules, subject to appropriate confidentiality and security expectations
- To comply with law, regulation, legal process, or lawful government requests
- To protect the rights, safety, and security of CrewRules, our users, or others
- In connection with a legitimate business reorganization, merger, acquisition, or asset transfer, subject to applicable law
11. Retention
We retain information for as long as reasonably necessary to provide the Services, maintain security, meet legal, accounting, and operational obligations, resolve disputes, and enforce our agreements.
If you schedule account deletion through your account settings, CrewRules currently provides a 30-day grace period during which you may restore your account before deletion is finalized. Some records may be retained where legally or operationally necessary, including transaction records, security logs, deletion audit records, support records, or information retained by service providers under their own policies.
We do not represent that every record is deleted immediately upon account closure. Specific retention periods remain subject to legal review and applicable law.
12. User Choices and Controls
Depending on the feature, you may be able to:
- Edit profile and preference information in your account settings
- Update Family View, Friends, and related sharing permissions
- Revoke Family View invitations or adjust sharing categories
- Manage Friends connections and friend-request notifications
- Remove personal-library documents you uploaded
- Clear imported schedule data where that control is available
- Manage or cancel paid subscriptions through Stripe’s customer portal where applicable
- Schedule account deletion and restore your account during the applicable grace period

CrewRules does not currently offer a self-service data-export download for all account information. If you have questions about access or deletion requests, contact us through /contact.
13. Security
We use reasonable administrative, technical, and organizational measures designed to protect information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
14. International Processing
If you access CrewRules from outside the United States, your information may be processed in the United States or other locations where we or our service providers operate. We take steps designed to address applicable cross-border requirements where required by law.
15. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will post the revised version on this page and update the effective and last-updated dates shown above. Your continued use of the Services after changes become effective may constitute acknowledgment of the updated Policy where permitted by law.
